4. Booking & Service Confirmation

A relocation booking shall be considered confirmed only after acceptance of the quotation/service proposal and completion of any required advance payment or booking formalities.

ESSRBEE may require the Customer to provide accurate information relating to the pickup address, delivery address, contact details, inventory and other relevant requirements before scheduling the service.

ESSRBEE may reschedule a service where circumstances beyond its reasonable control affect the planned movement, including vehicle availability, road restrictions, weather conditions, government restrictions, operational disruptions or other unforeseen events.

Special handling may be required for fragile, electronic, oversized, delicate or unusually shaped articles.

Where the Customer chooses to pack certain articles independently, ESSRBEE shall not ordinarily be responsible for damage arising from inadequate packing, undisclosed defects or improper preparation by the Customer, subject to applicable law.

The Customer should ensure that important personal documents, cash, jewellery, precious metals and other valuables are not handed over as ordinary household goods.

7. Inventory, Packing List & Declared Value

The Customer should carefully verify the description, quantity, condition and declared value of articles recorded in the Packing List/Inventory Sheet.

The final inventory or packing documentation accepted by the Customer may be used as the reference document for identifying the goods handed over for transportation.

Articles not disclosed or not included in the applicable inventory documentation may not be considered for a claim unless the Customer can establish that such articles were handed over to ESSRBEE.

Delivery may be affected by traffic, road conditions, weather, natural calamities, accidents, strikes, government restrictions, vehicle breakdowns, route restrictions or other circumstances beyond the reasonable control of ESSRBEE.

ESSRBEE shall make reasonable efforts to complete the transportation and delivery at the earliest practical opportunity in such circumstances.

Delivery shall ordinarily be made at the address specified in the booking documents. Any change of destination or delivery location may be subject to additional charges and operational feasibility.

10. Loss, Damage & Claim Guidelines

10.1 Reporting Damage

Customers should inspect the consignment at the time of delivery and immediately notify ESSRBEE of any visible damage, shortage or discrepancy.

10.2 POD Remarks

Where visible damage or shortage is identified at delivery, the Customer should record the relevant remarks on the Proof of Delivery (POD)/Goods Receipt before signing.

10.3 Claim Period

Any loss or damage claim should be reported to ESSRBEE in writing as soon as reasonably possible and preferably within 72 hours of delivery.

10.4 Supporting Documents

ESSRBEE may require photographs, videos, inventory records, invoices, repair estimates, condition reports, payment documents and other relevant information to assess a claim.

10.5 Pre-Existing Damage

Damage or defects that existed before transportation and were recorded in the packing list, condition report or other documentation shall not ordinarily be treated as transit damage.

10.6 Customer-Packed Goods

Claims relating to goods packed by the Customer may be subject to additional verification where damage may have resulted from inadequate or improper packing.

10.7 Repairs Without Intimation

Customers should not repair, dismantle, modify or dispose of damaged articles before notifying ESSRBEE and allowing a reasonable opportunity for inspection.

10.8 Claim Assessment

Eligible claims shall be assessed based on the applicable booking terms, declared value, condition of the goods, selected transit risk/insurance coverage and applicable law.

11. Transit Risk / Insurance Coverage

Where transit risk or insurance coverage is available and selected by the Customer, the applicable terms, conditions, exclusions, declared value and coverage limits shall apply.

Customers are advised to carefully review the applicable risk coverage before handing over goods for transportation.

Where the Customer independently arranges insurance through a third-party insurer, any insurance claim shall be governed by the terms and conditions of that insurance policy.

Vehicle transportation is subject to vehicle condition, transportation method, applicable booking terms and selected transit risk/insurance coverage.

12.1 Vehicle Condition

The Customer should disclose existing scratches, dents, mechanical faults and other visible or known defects before handing over the vehicle.

12.2 Vehicle Inspection

Where applicable, vehicle photographs and a condition report may be prepared before transportation and may be used for comparison at the time of delivery.

12.3 Personal Belongings

Customers should not leave cash, jewellery, important documents, prohibited articles or other valuable personal belongings inside the vehicle unless specifically permitted in writing.

12.4 Mechanical Components

ESSRBEE is a relocation and transportation service provider and is not a vehicle manufacturer or mechanical inspection agency. Existing or concealed mechanical/electrical defects shall not ordinarily be treated as transit damage unless supported by clear evidence and covered under the applicable terms.

13. Electronic Appliances & Furniture

Electronic appliances, furniture and delicate articles should be properly prepared for transportation.

For refrigerators, air conditioners and similar appliances, gas leakage, refrigerant issues or service requirements shall not automatically be treated as transit damage unless evidence establishes that the issue resulted directly from transportation.

Repairable furniture may, where appropriate, be repaired rather than replaced in its entirety.

Normal wear and tear, age-related deterioration, pre-existing defects and minor superficial marks may not qualify as compensable transit damage.

14. Storage & Warehousing

Where storage or warehousing services are provided, the Customer shall be responsible for providing accurate information regarding the goods placed in storage.

Storage charges shall be based on the agreed duration, volume, quantity or other applicable commercial terms.

Any extension of the agreed storage period may attract additional storage charges.

ESSRBEE may require the Customer to clear outstanding storage and other applicable charges before releasing goods from storage, subject to applicable law.

15. Cancellation Policy

A Customer wishing to cancel a confirmed relocation booking should notify ESSRBEE as soon as possible.

Cancellation charges, if applicable, may depend on the stage of service and expenses already incurred, including packing materials, manpower deployment, vehicle arrangements, transportation planning, storage arrangements and other operational commitments.

Once packing, loading, pickup, transportation or storage services have commenced, the Customer may not be entitled to a full refund.

Any refund, where applicable, shall be processed after adjustment of eligible charges and expenses in accordance with the applicable booking and refund terms.

16. Refund Policy

Refunds, where applicable, shall be determined based on the quotation, booking confirmation, cancellation terms, services already provided and expenses incurred by ESSRBEE.

Refunds shall normally be processed to the original payment method or through another appropriate method, subject to payment-provider procedures.

The Customer may be required to provide transaction details, payment confirmation and other documents required for verification.

18. Payment Disputes & Chargebacks

Customers are encouraged to contact ESSRBEE directly regarding payment discrepancies, duplicate payments, failed transactions, refunds or invoice-related concerns.

Where a payment dispute or chargeback is initiated, ESSRBEE may provide relevant booking records, invoices, payment confirmations, service documents and other supporting information to the concerned payment provider or financial institution.
